How personal information about tenants is handled in PropPilot

This notice is directed at tenants whose information has been entered into PropPilot by a landlord. It explains how PropPilot handles your personal information.

1. Who Enters Your Information

Your personal information (such as your name, contact details, lease details, and payment information) is entered into PropPilot by your landlord, not by you. Your landlord controls most of your record in the Platform.

2. What Information May Be Stored

• Your name, email address, and phone number

• Your lease start and end date, rent amount, and payment frequency

• Your rent payment history

• Bond details

• Maintenance requests and related photos or notes

• Messages between you and your landlord through the Platform

• Payment method details stored by our third-party payment processor (if you pay rent through PropPilot)

3. Why It Is Used

Your information is used to provide the PropPilot Platform to your landlord, including:

• Displaying your lease and rent details in your landlord's account

• Generating rent payment reminders

• Processing rent payments via our third-party payment processor (if applicable)

• Facilitating maintenance request management

• Enabling messaging between you and your landlord

4. Who May Access Your Information

Your landlord can see your information in their PropPilot account. PropPilot staff may access information where necessary to provide support, maintain security, or comply with law.

Your information may be processed by third-party service providers including our application infrastructure provider, payment processor, and email delivery provider. These providers are located in Australia and the United States.

5. AI Processing

PropPilot may use AI tools that process landlord-provided records, which may include limited tenant information (such as lease dates and rent amounts) for the purpose of generating administrative summaries for the landlord. PropPilot does not use AI to make decisions about you, assess your creditworthiness, or produce outputs that affect your rights.

6. Your Rights

Under the Australian Privacy Act 1988, you have rights to access and request correction of personal information we hold about you. For information primarily controlled by your landlord, we may need to refer you to your landlord to exercise those rights.

7. Data Retention

Tenant records in PropPilot are controlled by the landlord's account. When a landlord closes their account, tenant data is deleted or anonymised in accordance with our Privacy Policy and applicable law.
