AI Usage and Human Review Policy

How AI works in PropPilot and what review is required

This policy describes how PropPilot uses AI features, what types of AI outputs are produced, and what review is required before those outputs can be used.

1. How PropPilot Uses AI

PropPilot uses large language model AI to assist with:

• Generating draft lease agreements, tenancy notices, and other documents

• Summarising financial records and producing draft income/expense reports

• Suggesting maintenance request categorisations and draft responses

• Generating draft communications for landlord review

• Providing AI-powered insights on property financial performance

All AI features produce outputs for your review. None produce final, authoritative, or legally binding documents or decisions without your explicit review and confirmation.

2. What AI Does Not Do

• PropPilot AI does not make decisions about tenants

• PropPilot AI does not assess tenant suitability, creditworthiness, or reliability

• PropPilot AI does not produce ATO-compliant tax records or financial statements

• PropPilot AI does not produce legally verified notices or compliant lease agreements

• PropPilot AI does not determine rent increases, bond amounts, or arrears outcomes

• PropPilot AI does not substitute for professional legal, tax, or financial advice

3. Required Human Review Steps

Before any AI-generated output may be saved as final, sent to a tenant, exported, or used in any decision, you must:

• Read the entire output and check it for errors, inaccuracies, and appropriateness

• Confirm that the output accurately reflects your specific situation

• Verify jurisdiction-specific compliance with the relevant state or territory tenancy law

• For legally significant documents: obtain independent legal review before use

• For tax or financial outputs: obtain review by a registered tax agent or accountant before use

The review and confirmation prompt displayed in the Platform before saving or sending AI-generated content is a mandatory step. Bypassing or ignoring this step increases your legal and financial risk.

4. Audit Trail

PropPilot logs AI generation events, including what was generated, when, and what confirmation action was taken. This audit trail is maintained to support your review practices and for security purposes.

5. Limitations You Accept

By using AI features in PropPilot, you acknowledge that:

• AI outputs may contain errors, hallucinations, outdated information, or jurisdictional inaccuracies

• Human review is mandatory and not optional

• PropPilot accepts no liability for AI outputs used without appropriate review

• AI features are in active development and may change over time
