Email, SMS, and notification practices

1. Types of Communications

1.1 Transactional / Service communications

These are sent to fulfil our service obligations. They include:

• Account registration and verification emails

• Billing receipts, invoices, and payment failure notifications

• Security alerts and account activity notifications

• Service availability and outage notices

• Support responses

Transactional communications are required for the Platform to function. You cannot opt out of them while your account is active.

1.2 Product communications

These include product updates, new feature announcements, and educational content about PropPilot. You may opt out at any time using the unsubscribe link.

1.3 Marketing communications

We will only send marketing communications to you with your consent, as required by the Spam Act 2003 (Cth). You can withdraw consent and unsubscribe at any time.

1.4 Tenant notifications

Landlords may use PropPilot to send rent reminders, maintenance updates, and messages to tenants. Landlords are responsible for ensuring tenant notification practices comply with applicable tenancy laws and the Spam Act 2003 (Cth).

2. Compliance with Australian Spam Laws

All commercial electronic messages sent by PropPilot comply with the Spam Act 2003 (Cth), including:

• Sender identification in all messages

• Our contact details in all commercial messages

• A functional unsubscribe mechanism in all marketing messages

• Honouring unsubscribe requests promptly

3. SMS Communications

If we send SMS messages (for security codes or service alerts), standard message and data rates may apply. Reply STOP to opt out of non-essential SMS. You cannot opt out of security-critical SMS messages.

4. Tenant Communication Responsibility

Landlords who use PropPilot to contact tenants must ensure their communications comply with applicable tenancy law, the Spam Act 2003 (Cth), and any other relevant laws. PropPilot is a delivery tool only and does not verify legal compliance of landlord-initiated communications.
