How PropPilot handles your personal information

1. Overview

RZBB Ventures LLC operates PropPilot. This Policy explains how we collect, use, disclose, and protect personal information. We are committed to the Australian Privacy Act 1988 (Cth), the Australian Privacy Principles (APPs), and the Privacy and Other Legislation Amendment Act 2024 (Cth).

2. Information We Collect

2.1 Information you provide

  • Account: name, email address, phone number

  • Property: addresses, specifications, purchase price, estimated value

  • Tenant: names, email, phone, lease dates, rent amounts

  • Financial: income entries, expense records, rent payment information

  • Documents: leases, receipts, invoices, photos you upload

  • Communications: messages and notes you create in the Platform

2.2 Automatically collected

  • Log data: IP addresses, browser type, pages visited, timestamps

  • Usage data: features used, actions taken, session duration

  • Device: device type, operating system, browser version

2.3 From third parties

  • Payment processor: payment method details, transaction records, connected account status

  • Application infrastructure provider: authentication tokens, device identifiers

3. How We Use Your Information

  • Provide, maintain, and improve the Platform

  • Process and manage subscriptions and payments

  • Enable optional rent collection features

  • Generate AI-assisted document drafts and summaries

  • Send service-related communications and billing notifications

  • Respond to support enquiries

  • Detect and prevent fraud, abuse, and security incidents

  • Comply with legal obligations

We do not use your data to train AI models without your explicit consent.

4. Automated Decision-Making and AI Use

PropPilot may use automated systems and AI-assisted tools to support administrative functions, including document drafting, record summarisation, categorisation, and reminders.

PropPilot does not use automated systems to make legally significant decisions about tenants, approve or reject rental applications, determine creditworthiness, decide eviction action, determine rent increases, or make binding decisions about a person's rights or obligations.

From 10 December 2026, and in accordance with the Privacy and Other Legislation Amendment Act 2024 (Cth), we will update this Policy to describe any automated decision-making that may significantly affect your rights or interests as required by law.

5. Tenant Personal Information

When you enter tenant information into the Platform, you are primarily responsible for that information under applicable privacy laws. You must obtain all necessary consents from tenants before entering their personal information into PropPilot.

We process tenant personal information only to provide the Platform to you. We do not use tenant personal information for any other purpose. See our Tenant Privacy Notice for information directed at tenants.

6. Disclosure of Information

We do not sell, rent, or trade personal information. We may share information with:

  • Third-party service providers: payment processing, application infrastructure, AI, email delivery, and analytics, as listed in our Subprocessor List

  • Law enforcement or regulators: where required by law or legal process

  • Professional advisers: lawyers and accountants, where necessary for our legitimate purposes

Personal information may be processed by our third-party service providers in the United States and Australia. We take reasonable steps to ensure overseas recipients handle personal information consistently with the APPs, as required by APP 8.

7. Data Storage and Security

Your data is stored on infrastructure hosted in Australia. We implement technical and organisational security measures including encrypted data transmission (TLS), access controls, authentication requirements, and regular security reviews.

No method of transmission or storage is completely secure. While we implement strong security practices, we cannot guarantee absolute security. See our Security and Data Breach Policy for more information.

8. Notifiable Data Breaches

We comply with Australia's Notifiable Data Breaches (NDB) scheme under the Privacy Act 1988. If we have reasonable grounds to believe an eligible data breach has occurred that is likely to result in serious harm, we will notify affected individuals and the Office of the Australian Information Commissioner (OAIC) as required by law.

9. Data Retention

We retain personal information for as long as your account is active, or as needed to provide the Platform and comply with legal obligations. When you close your account, we will delete or anonymise personal information within a reasonable period, except where retention is required by law, including for audit, tax, legal, or security purposes.

10. Your Rights

  • Access the personal information we hold about you

  • Request correction of inaccurate or incomplete information

  • Request deletion of your personal information (subject to legal obligations)

  • Complain about our handling of your personal information

11. Statutory Privacy Tort

From 10 June 2025, individuals in Australia may have a right to bring a claim for serious invasions of privacy under the Privacy and Other Legislation Amendment Act 2024. We take this obligation seriously. If you believe we have seriously invaded your privacy, please contact us at the details below before taking further action.

12. Children**'**s Privacy

The Platform is not directed at individuals under 18. We do not knowingly collect personal information from minors.

14. Changes to This Policy

We may update this Policy with reasonable notice. Material changes will be notified by email or in-app notice.
